Daviot Village Hall Committee EGM

Tuesday 17th August 2004

 N Masson welcomed those present. The minutes of the last meeting held on 26th May 2004 were read and accepted as a true record.

Matters arising

The EGM was called in order to elect two people into the positions of Treasurer and Secretary of the Daviot Village Hall Committee, which were left unfulfilled after the resignation of J Sparshatt and J Cameron at the last meeting. N Masson proposed J MacBain for Treasurer and D Scott for Secretary; this motion was seconded by D MacInnes and was passed.

The Project Committee also needed to be elected.

D MacInnes proposed K Gordon as Chairman. This motion was seconded by D Bryce and was passed.  N Masson proposed D MacInnes as Secretary. This was seconded by J Penman and the motion was passed. Other members of the committee included M Lloyd, S Bruce, M Jones, C MacBain, D Scott, N Masson, L Anderson, S Jamieson, K Duncan, J Penman, C Leggatt and D Bryce. People on whom the committee will call upon for advice include P Richardson (Law), D Lamb (Kinellar Hall), W Taylor (Grants), J Loveday (Council),  Willie Lipp (Architect), K McLennan (Disability Access) and K Millar (Daviot and Oldmeldrum Scouts).

A meeting was set for Tuesday 24th August to define objectives before another public meeting was called in the near future.

An amended draft of the Written Resolution regarding inserting an additional clause to allow the set up of the Project Committee has been received from the solicitors. A formal copy is now required and the secretary will follow this up.

The Playgroup rates will be reduced back down to £4/hour as from Monday 23rd August.

Other matters

J Sparshatt raised the issue of the role of a Hall Booker/Keeper which has been vacant since the resignation of W Duncan two years ago. J Sparshatt agreed to take on the role herself.

It was confirmed by N Masson that Daviot residents are given a discounted rate to hire the hall.

It has become apparent that the Hall is loosing bookings because of the poor condition of the building. In order to prevent this in the short term, it was decided the paint the hall. It was agreed that to prevent any issues concerning health and safety, we would get professionals in rather than get volunteers to do the work. Secretary to obtain two quotes.

 There is £6399 in the Daviot Village Hall Committee Higher Interest Account and £3329 in the Current Account.

 L Anderson introduced the www.daviot.org website to the committee. This will contain information on Scouts, WRI, Bowling, Playgroup, Youth Club, bookings for the hall, minutes for the meetings and photos of the area.  He explained that if anyone wanted anything added to the website they were to send the details to administrator@daviot.org . If anyone wanted their own 'xxx.xxx@daviot.org’ email address, they should send their name, address, phone number and an existing email address to administrator@daviot.org

The next Daviot Village Hall Committee Meeting will be Tuesday 7th September 2004 at 7.30pm
